Artific processes your personal data because you use our services and/or because you provide it to us yourself.
Below is an overview of the personal data we process:
- First name and surname
- Address details
- Phone number
- Email address
- Bank account number
Artific processes personal data because personal data can be left on our site. We do not use social media plugins.
Special and/or sensitive personal data we process
Artific processes the following special and/or sensitive personal data about you:
Our website and/or service does not intend to collect data about website visitors under the age of 16, unless they have permission from their parents or guardian. However, we cannot check whether a visitor is over 16. We therefore encourage parents to be involved in their children’s online activities, to prevent data about children being collected without parental consent. If you believe that we have collected personal data about a minor without that consent, please contact us at info@artific.nl and we will delete this information.
For what purposes and on what legal basis we process personal data
Artific processes your personal data for the following purposes:
- Handling your payment
- Being able to call or email you if this is necessary to provide our services
- Informing you about changes to our services and products
- Giving you the option to create an account
- Delivering goods and services to you
Automated decision-making
Artific does not use automated processing and therefore takes no decisions on matters that can have (significant) consequences for individuals. This refers to decisions taken by computer programs or systems without a human being (for example an Artific employee) being involved.
How long we keep personal data
Artific does not keep your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data: 7 years
Sharing personal data with third parties
Artific shares your personal data with various third parties if this is necessary to perform the agreement and to comply with any legal obligation. Artific remains responsible for this processing. Beyond that, Artific does not provide your personal data to any other third parties.
Forms on this website
You can send us a message through this website, for example with the contact form on the contact page. Below you can read exactly what happens to that data.
What we record. Only what you fill in yourself. For the contact form, that is your name, your email address, your company name (which is optional) and your message, plus the tick box with which you agree to this privacy statement.
What we use it for. To answer your question or request. We do not use this data for anything else, and you will not receive a newsletter from us because you filled in a form.
Who receives it. Every submission reaches the Artific team at info@artific.nl. We do not share the content with anyone else.
Where it is stored. The submission is stored with Google Cloud in the europe-west4 region, in the Netherlands. We send the email itself through Mailjet, an email service provider that is part of the Swedish Sinch group. We have a data processing agreement with Mailjet, as we do with Google; it forms part of the service agreement and covers any transfer outside the European Union with the European Commission’s standard contractual clauses.
How long we keep it. We keep a submission for 12 months, after which it is deleted automatically. That period exists so that we can find your message again if an email goes astray.
Applications and attachments. If you apply for a job opening or send an open application, we also ask for your phone number, your CV and, if you include one, your cover letter. Those files are stored with Google Cloud in the same region and sent as attachments with the email to info@artific.nl. We keep your application and its attachments for 12 months and then delete them automatically, including from storage. That period applies on the basis of the tick box with which you give your consent for it; without that consent we would have to delete your application within four weeks of the end of the procedure. You can withdraw your consent at any time by sending a message to info@artific.nl; we will then delete your application and its attachments.
How we stop spam. Every form has four measures: a hidden field that a person never fills in, a check on the time between opening and sending the form, a limit on the number of submissions per IP address, and Google’s reCAPTCHA Enterprise. That last check runs on every submission and belongs to the necessary cookies, so we do not ask for consent for it. A form therefore only works with JavaScript; if you have it switched off, you can email us at info@artific.nl. During that check your IP address and a token go to Google; the check is not restricted to Europe. The content of your message never passes through it. To deal with abuse, we record the IP address and browser details with every submission. We use them only for that purpose, and they fall under the same 12-month retention period.
Your rights. You can ask at any time which data we hold about you, have it corrected or have it deleted. To do so, send a message to info@artific.nl. What else applies is set out below under Viewing, correcting or deleting your data.
Cookies, or similar technologies, that we use
A cookie is a small text file that is stored on your computer, tablet or smartphone when you visit this website. Artific uses cookies for four purposes. Only the first purpose is necessary; for the other three we ask for your consent on your first visit, and you can change that choice at any time through the Cookie settings link at the bottom of every page.
- Necessary. One cookie that remembers your cookie choice, and the spam protection on forms. Without that first cookie we would have to ask you again on every visit. For the spam protection we use a Google service (reCAPTCHA), which places a cookie to tell people apart from automated traffic; without that check we cannot accept a form.
- Functional. The chat assistant and playing videos from Vimeo. The chat assistant uses the same Google service (reCAPTCHA) for its own spam protection; Vimeo places a similar cookie when a video plays. The chat assistant only appears after you have given your consent for this, and a video only plays after that same consent.
- Statistics. Google Analytics, through Google Tag Manager, to see which pages are visited and how visitors use the website. We have switched off Google Signals and ad personalisation, and set the retention period of the data at Google to two months. Without your consent, Google Analytics is not loaded and nothing is sent to Google.
- Marketing. SalesFeed, a company recognition service. From your IP address and characteristics of your browser and device it infers which organisation this website is being visited from, and records which pages you view and how you move through them. This lets our sales team see which companies are interested. For this, SalesFeed places cookies and stores data in your browser. Cookies from advertising platforms, to measure whether a campaign works and to show you relevant ads, fall under this same purpose; we do not place those at the moment. Without your consent, SalesFeed is not loaded and nothing goes to these parties.
Videos on this website. The videos you see here are hosted on Vimeo. A video only plays after you have given consent for functional cookies. Until you have given that consent, the page shows only a still image from our own server, and nothing goes to Vimeo: if you press play, we first ask for that consent, and you can also watch the video on vimeo.com. With your consent, the video is loaded at the moment you press play, and not before. We switch the player on with Do Not Track, so Vimeo does not track your visit and does not record your viewing behaviour.

In addition to cookies, SalesFeed stores data in your browser’s storage. If you withdraw your consent, we delete the Google Analytics and SalesFeed cookies immediately, the page clears that browser storage and we no longer load those services. You can also opt out of cookies by setting your internet browser so that it no longer stores cookies, and you can delete all information stored previously through your browser’s settings.

Viewing, correcting or deleting your data
You have the right to view, correct or delete your personal data. You can do this yourself through the personal settings of your account. You also have the right to withdraw any consent you have given for the data processing, or to object to the processing of your personal data by our company, and you have the right to data portability. This means that you can ask us to send the personal data we hold about you in a computer file to you or to another organisation you name.
If you want to exercise your right to object and/or your right to data portability, or if you have other questions or comments about the data processing, please send a specified request to info@artific.nl.
To make sure that the request for access was made by you, we ask you to enclose a copy of your proof of identity with the request. In this copy, black out your passport photo, the MRZ (machine readable zone, the strip of numbers at the bottom of the passport), your passport number and your citizen service number (BSN). This is to protect your privacy. Artific will respond to your request as quickly as possible, and in any case within four weeks.
Artific would also like to point out that you can lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). How we secure personal data
Artific takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. If you feel that your data is not properly secured, or there are signs of misuse, please contact our customer service or email info@artific.nl.
